Tips for Backing Up Your Wedding Photos or Wedding Videos
By Jay Grubb Photography & Video
After your wedding day is over, your photos and videos become one of the most cherished keepsakes. At Jay Grubb Photography & Video, we deliver your memories through an online PixieSet photo and video gallery, which will eventually expire depending on your contract with us. After you download your photos It's important to take a few extra steps to back everything up securely. This guide will help you confidently preserve your files for a lifetime.
1. Download All Files from Your Online Gallery
Once your gallery is ready, we’ll send you a private PixieSet link with a client login and password. Be sure to:
- Download all files in the highest quality (photos in “High Resolution” and videos in the format provided).
- Use a computer, not a phone, to ensure no compression or loss in quality.
- Organize your downloads into folders such as “Wedding Photos” and “Wedding Video Highlights” so they’re easy to locate.
Tip: Make sure to do this within your gallery’s availability window. If you're unsure when your gallery expires, contact us at jay@jaygrubbphotography.com.
2. Back Up to a Cloud Service
Cloud backups are a must because they protect your files even if your device gets lost or damaged. Here are some trusted options:
- Google Drive – Free up to 15GB; great for easy sharing with family
- Dropbox – Secure syncing across multiple devices
- Microsoft OneDrive – Convenient for PC users with Microsoft accounts
- Amazon Photos – Ideal for Amazon Prime members, includes unlimited photo storage
We recommend choosing at least one cloud option for automatic and remote access to your memories.
3. Use External Hard Drives for Physical Backups
Physical backups give you direct access without relying on the internet. After downloading your gallery:
- Copy the files to an external hard drive or SSD.
- Label it something like “Smith Wedding – June 2025” so it’s easy to find later.
Here are a few reliable drives available on Amazon:
- 🔗 WD My Passport 2TB External Hard Drive – Affordable and portable
- 🔗 Samsung T7 Portable SSD (1TB) – Faster transfers, sleek design
- 🔗 LaCie Rugged Mini 2TB Portable Hard Drive – Great for travel and durability
Bonus Tip: Store this drive in a fireproof safe for added security.
4. Keep a Copy on Your Phone or Tablet
While full-resolution files are best stored on a computer or hard drive, you can keep smaller versions of your favorite images on your mobile devices to share with friends and family.
- From your PixieSet gallery, download “Web Size” versions to your phone.
- Create albums like “Wedding Sneak Peeks” or “Reception Highlights” for quick access.
5. Share with Family for Extra Redundancy
Send your gallery link or shared folders (via Google Drive, Dropbox, etc.) to trusted family members. This creates another level of redundancy, and they’ll love reliving the memories too.
Just remember: don’t rely solely on shared links—make sure at least one backup lives on your personal devices.
6. Periodically Check Your Files
Set a reminder once a year to:
- Confirm your backups are still intact
- Re-download the files to new storage if your original hard drive ages out
- Upgrade cloud storage plans if you’re nearing capacity
